Proxy overview and sample forms

The new proxy forms are complicated. Worse, many owners are not given dis-interested instructions on how to fill them out. Pre-filled in forms provided by management may give the incumbents an unfair advantage or may result in incorrectly filled in forms that result in disqualified proxies.

(A condo in the North York–Sheppard Corridor had 94 disqualified proxies at a November 2018 AGM.)

Many condos are finding a large drop in the number of proxies being submitted at their AGMs.

To help out, the Ministry has added a page to their website that explains the new proxy forms and gives examples that owners can use as guides.

They are Sample Form & Instructions for:
1.
Quorum Only
2.
Voting on Matters of Routine Procedure Only
3.
Voting on Behalf of an Owner
3.1
Election of Directors
3.2
Election of Directors to Owner-Occupied Positions
3.3
Voting on Specific Matters
3.4
Removal of Directors

You can find the samples (as pdf forms) on the Ministry's website at Proxy Overview & Sample Forms.
